Privacy Policy

How we handle the information you share with us.

Last updated: October 18, 2026

Who we are

Vanguard Cabinets Inc. is based in Burnaby, British Columbia, and provides custom cabinetry and related services. This policy explains how we handle personal information in connection with vanguardcabinets.com, inquiries and customer projects.

Our management team handles privacy inquiries. Contact contact@vanguardcabinets.com with the subject “Privacy request.” We are responsible for personal information under our control, including information handled by service providers on our behalf.

Our practices are subject to British Columbia’s Personal Information Protection Act (PIPA) and applicable Canadian privacy laws, including PIPEDA where it applies. Other businesses linked from this website have their own practices; shared branding does not automatically authorize sharing your information with them.

Information we collect

Depending on how you interact with us, we collect:

  • Inquiry details: your name, email, city, optional phone number, project type, timing and information you choose to provide.
  • Project information: service address, measurements, room photographs, plans, finish selections, approvals, scheduling and installation details.
  • Business records: estimates, agreements, invoices, payment status and correspondence needed to manage your project.
  • Technical information: information processed when you access our website or embedded services, which may include IP address, browser and device details, pages requested, timestamps and security logs.
  • Chat or support messages: content you provide when using a chat or contacting our team.

Please do not send passwords, full payment-card details, identification documents or unnecessary sensitive information through general forms, email or chat. Share photographs and plans only when you are entitled to do so.

Why we use it

We use relevant information to respond to requests, assess projects, prepare estimates and designs, arrange visits, coordinate approved work, manage payments and records, provide aftercare, address complaints, and protect our website and business against misuse.

We explain any materially different purpose and obtain consent where required before using information for it. Providing details for an inquiry does not, by itself, subscribe you to unrelated promotional messages.

Service providers and sharing

We use the following services to operate our website and respond to customers:

  • Squarespace: hosts our website and provides website functionality, security and, when enabled, analytics. It processes technical information associated with visits, such as IP addresses, browser and device details, requested pages and timestamps.
  • Formspree: receives and processes project enquiry submissions, stores them according to our account settings and service plan, and delivers notifications to our team. Submissions include the contact and project details you enter in the form.
  • Tidio: provides our chat service. When enabled, it processes chat messages, contact details you supply and technical visitor information used to operate the chat, maintain conversation context and support our responses. Where an automated assistant is available, messages may be processed to generate a response. You can contact us by email instead of using chat.
  • Google Fonts: supplies fonts used on our website. When fonts load from Google, your browser sends technical request information, including your IP address, so the fonts can be delivered. Google Fonts is separate from Google Analytics.
  • Embedded catalog and other business services: our externally hosted catalog may receive technical request information when it loads. Email, project-management and payment providers process information needed to communicate with you, administer projects and complete transactions.

We share relevant project information with people who need it to perform the requested work, such as designers, manufacturers, installers and delivery partners. This may include contact details, site access information, dimensions and approved designs.

We limit disclosures to appropriate purposes and require reasonable protection when providers process information on our behalf. We may also disclose information where authorized or required by law, including to respond to lawful requests, protect safety, or establish or defend legal rights.

We do not sell customer personal information. Sharing information with another Vanguard-branded business for an unrelated purpose is handled separately, with consent where required.

Cookies, embedded content and tracking

Cookies and similar browser storage help operate website features, maintain preferences, support chat and understand website use. Technical information may also be processed when a page, font, embedded catalog or other external service loads, even if you do not submit a form.

Squarespace analytics, when enabled: analytics cookies help distinguish visits and sessions and measure traffic, referral sources and pages viewed so we can improve the website. If Squarespace's Activity Log is enabled, it may also make recent visit information available to us, including IP address, approximate IP-based location, browser, referral source and pages visited.

Chat, when enabled: Tidio may use cookies or browser storage to recognize a visitor or conversation and support chat features. Its processing can begin when the chat service loads, not only when you send a message.

Some optional features may be enabled or disabled over time. The descriptions in this policy explain their purposes when active; they do not mean every feature operates on every visit. We obtain consent where required for optional collection and explain any new purpose or materially different tracking practice before using it.

You can manage or remove cookies through your browser and use any privacy controls presented on the website. Browser restrictions may affect features and do not necessarily prevent all technical information from being transmitted. You can also contact us about the tools currently enabled or to withdraw consent, subject to applicable legal or contractual restrictions. Reading this policy or continuing to browse is not blanket consent to optional tracking.

Processing outside Canada

Our technology providers may process or store information outside British Columbia or Canada, including in the United States. Information processed in another country may be subject to its laws and lawful access by courts or government authorities.

We remain accountable for information under our control and consider appropriate safeguards when selecting and using providers. Contact us for information about our service providers and cross-border processing practices.

Project photographs and marketing

Photographs and drawings supplied for an estimate or project are used for that purpose. We seek permission before publishing a customer’s project for our portfolio or marketing. You can decline publicity without that choice becoming a condition of receiving the requested cabinetry service.

If you agree to promotional emails, you can unsubscribe using the method in the message or contact us. Promotional communications are handled in accordance with applicable consent, identification and unsubscribe requirements. Necessary project correspondence is separate from optional marketing.

Retention and protection

We keep information for as long as reasonably necessary for its identified purpose, including project delivery, aftercare, accounting, legal obligations and resolving disputes. Different records may need different retention periods. When information is no longer needed and no legal retention requirement applies, we securely delete it or make it no longer identifiable.

Where PIPA requires us to retain personal information used to make a decision directly affecting an individual, we retain it for at least one year after that decision so the individual has a reasonable opportunity to obtain access.

We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. Access is limited to people who need it for their work. No online system is completely secure. If a privacy incident occurs, we assess it and take appropriate action, including notifications where required by law.

Access, correction and complaints

You may request access to your personal information, information about its use or disclosure, or correction of an error. Email contact@vanguardcabinets.com. We may need to verify your identity using information proportionate to the request. Please do not send identity documents unless we ask through an appropriate process.

We respond within applicable legal time limits and explain any permitted extension, restriction or refusal. Deletion requests are considered subject to retention obligations; there is no promise that every record can be immediately deleted.

Please contact our management team about a privacy concern. You may also contact the Office of the Information and Privacy Commissioner for BC, or the Office of the Privacy Commissioner of Canada where the matter falls within its jurisdiction.

Children and updates

Our services and inquiry forms are intended for adults arranging home projects, not children. If you believe a child has provided personal information without appropriate authorization, contact us so we can address it.

We may update this policy as our practices change. The date at the top shows the latest revision. For material changes, we provide additional notice and seek fresh consent when required. A policy update does not retroactively authorize an unrelated use of your information.
